Designing a new office interior? Involve your employees from the very beginning

Stunning 3D renderings, modern furniture... everything is just right. Until you move in and your employees finally start working there. Suddenly, it appears that there aren’t enough quiet workstations and different types of meeting rooms or colleagues simply don’t really feel at home. It is a classic pitfall of a top-down approach to designing a work environment, something we still often see in practice.


An office layout helps determine how people work, collaborate and feel in the workplace. This is precisely why it is important to actively involve employees from the very beginning and not only at the end.

Why it is important to involve employees in a new office design?

As with any change project, you need broad support. You obtain it by including employees in the project from the initial ideas and sketches. If employees understand why certain choices are made and see their own needs reflected in the design, it increases commitment and enthusiasm in the workplace. This will make the transition to a new work environment a lot smoother and reduce the risk of resistance or unpleasant surprises during commissioning.


What’s more, their input provides valuable insights. After all, they spend eight hours there every working day so are best placed to know what is needed.

How to collect input from your employees

What do employees need in their work environment? That’s simple: ask them. The entire team, or team leaders. Depending on the size of your organisation, you can collect this input in different ways such as through:

  1.  Surveys
    Ideal for quickly collecting data about overall satisfaction. By asking targeted questions about the work environment and facilities, you get a clear overview of recurring needs, frustrations and expectations.

  2. Workshops
    Smaller groups allow you to delve deeper into how people work and collaborate on a daily basis. Workshops are particularly valuable for bringing different perspectives together and generating ideas. Consider creating mood boards with photos of workplaces that do or don’t appeal. Or mapping out a typical working day, revealing concrete needs and problem areas.

  3. Observations about current use
    Knowledge is power. Observe how people really use their existing space. Are those large meeting rooms actually used, or does everyone spontaneously seek out smaller spaces? Tip: It is impossible to grant every individual wish. The main objective is to recognise patterns within teams and departments.

From analysis to practice: keep involving your team

Employee involvement doesn’t end with the analysis. Including them in the process and providing room for feedback is valuable during and after the execution.
For large companies, it is sometimes interesting to conduct a trial run with a small group of employees. They work for several weeks in a trial set-up or in part of the new office. This will reveal any minor teething problems or misses early on, which can be corrected before the entire organisation moves in.
